Office Manager

Looking for someone who loves to make order out of chaos, lives to organize and create systems, and is unafraid to get dirty. Needs plenty of energy and common sense, and a can-do, friendly demeanor. Must be an expert in Outlook. Masterful ability to herd cats (with a smile) required.




o General Facilities

• First contact for alarm system; alerts proper authorities

• Partner with building management on troubleshooting any issues with structures and services such as heating, plumbing, trash collection, etc.

• Coordinate schedule with cleaning agency; provide them specific cleaning instructions as needs arise

o Office Organization

• Organize all cabinets, closets, kitchen areas, storage units

• Develop systems to allocate space by department

• Manage organization of storage units

• Schedule movers to transfer goods to storage units on quarterly basis

• Develop/manage system to book conference rooms

• Manage adherence to in-bound/out-bound package procedure

• PROJECT: Manage move of entire team to new office in Dec 2015

• Support CEO in oversight of new office build out

• Partner with IT to ensure seamless move

• Schedule movers

• Oversee packing

• Develop plan for move phases

o Supplies

• Ensure all groceries and kitchen supplies are kept in stock

• Ensure all office suppliers are kept in stock, including tech supplies and big ticket items such as toner

• Coordinate repairs/servicing of office equipment such as printer, fax

• IT

o Manage any structural IT changes (such as email server migration)

o Call in 3rd party IT service providers as needed

o Maintain organized shared drive


o Maintain up-to-date on-boarding documents

o Walk new employees through on-boarding manual

o Ensure new hires have desk set up, including IT needs (phone, email, etc)

o Administer Health insurance forms during open enrollment

o Manage distribution of Petty Cash

o Post all open jobs

o Manage all inbound resumes and distribute to appropriate party

o Schedule all prescreen phonecalls and interviews


o Manage C-Suite calendars

o Manage personal requests as they arrive

o Make arrangements for trainings and offsites

o Coordinate messengers for office documents

o Order one-off items

o Book executive business travel, including local travel


o Coordinate direct mailer with Marketing Team

o Assist the Sales team in coordinating the messengering of samples to clients for photography

o Assist the PR team in all press requests for Samples; coordinate the messengering of samples to media

o Manage the tracking of all Press and Ad samples

RULE OF THUMB: If no one in the office knows who does it, this person does it!



• Bachelor’s Degree required.

Work Experience:

• 2/3 years in Office Management in consumer-facing industry

• HR-experience preferred

Career Development

Loeffler Randall is always accepting resumes for Spring, Summer & Fall internships. Interns have the opportunity to contribute to every facet of our growing company, and will be dedicated to one of the following departments: e-commerce & marketing, wholesale sales, or production. Qualified applicants will be a student at a 4 year University, or will have just graduated, and should have a strong interest in our company. Expectations are that interns be extremely professional, efficient, reliable and proactive problem solvers, willing to pitch in anywhere that is needed.


Internships are available for school credit or if school credit is not available, for an hourly rate of $8/hr (minimum wage). Interns must be available for a minimum of two days a week, 9 am - 5:30 pm, with a half hour lunch break.
